Can an Internal AI Assistant Answer Questions From Email Attachments?

Yes, but only if those attachments are stored in an approved, searchable knowledge source such as SharePoint or OneDrive and are intended to be part of the organization’s knowledge base. Email attachments should not become authoritative simply because someone sent them in Outlook. The safest approach is to treat attachments as candidate knowledge, review them, assign ownership, and publish approved versions before employees rely on AI-generated answers.

Why This Question Matters

Organizations have valuable information trapped inside email attachments: updated procedures, vendor price lists, customer templates, safety checklists, equipment manuals, project documentation, training guides, and meeting handouts.

The problem is not finding the attachment. It is determining which attachment represents the company’s approved guidance.

Email Is a Communication System, Not a Knowledge System

Attachments often suffer from multiple revisions, unclear ownership, missing approval, duplicate copies, personal edits, temporary instructions, missing context, and expired information.

Where AI Should Retrieve Attachments

When an approved attachment is stored in SharePoint, Copilot Studio can retrieve it through configured knowledge sources while respecting Microsoft identity and SharePoint permissions. Microsoft’s Copilot Studio SharePoint knowledge documentation explains this retrieval model.

The attachment becomes part of organizational knowledge because it was intentionally published, not because it appeared in someone’s inbox.

A Practical Example

Suppose Purchasing emails a new vendor onboarding packet. Over the next year, Finance updates one form, Legal updates another, Purchasing changes the instructions, and employees continue forwarding the original email.

If the assistant searches unmanaged attachments, it could retrieve obsolete documents. A better approach is to publish the approved onboarding package into SharePoint with a named owner, effective date, approval status, department, and review schedule.

Attachments Need the Same Governance as Documents

An attachment should have an owner, approval process, version history, permissions, review dates, metadata, and archive rules.

Do Not Let Personal Mailboxes Become Company Memory

Useful attachments should be reviewed, assigned an owner, published into SharePoint, added to the Knowledge Hub, and removed from day-to-day dependency on email.

Permissions Still Apply

An HR attachment containing compensation information should not become searchable by every employee. Microsoft’s SharePoint permissions guidance explains the underlying access model.

How Pixeldust Prepares Email Knowledge for Maisy

The Microsoft 365 Knowledge Hub implementation guide explains how recurring attachments can be promoted into governed SharePoint libraries.

The Pixeldust implementation process identifies duplicate versions, obsolete documents, permission issues, and missing ownership before Maisy begins using them.

The Practical Answer

An internal AI assistant can answer questions using information that originally arrived as an email attachment, but only after that attachment becomes governed organizational knowledge.
