Can an Internal AI Assistant Answer Questions From SharePoint Version History and Document Comments?

Not reliably. An internal AI assistant can answer from the current searchable content of approved SharePoint files, but organizations should not assume Copilot Studio will retrieve previous versions, check-in comments, or unresolved Word comments as normal knowledge. Important explanations and decisions buried in comments or earlier versions should be moved into the current published document or a governed decision record.

Why Valuable Knowledge Ends Up in Version History

Version history may reveal how a document changed, who changed it, when the change occurred, and comments entered during check-in or publishing. Word comments may also explain why language changed or which questions remain unresolved.

Copilot Studio Searches Indexed Content

Microsoft’s SharePoint knowledge-source guidance describes retrieval through Microsoft search and the signed-in user’s access. It does not promise that prior versions and editing comments become ordinary grounding material.

Version History Is Not the Current Policy

SharePoint can preserve older versions for recovery and auditing. Microsoft’s version-history guidance explains how previous versions and check-in comments are managed. Preservation does not make every preserved statement current guidance.

Comments May Contain Unapproved Information

Comments commonly contain questions, tentative suggestions, corrections, and reminders intended for editors. A resolved comment means the discussion was closed, not that every statement inside it was approved.

A Practical Purchasing Example

If a published procedure requires IT approval for all software purchases, a rejected comment proposing a higher threshold should not become the answer merely because its wording closely matches the question.

When Historical Information Is Needed

Legal, compliance, audit, or management staff may legitimately need to know what a policy said on a particular date. That requires a controlled historical-research process, not routine employee retrieval that blends past and current rules.

Capture the Reason for Important Changes

A decision record can preserve the decision, reason, alternatives, approver, effective date, affected processes, and link to the current authoritative source.

The AskMaisy implementation guide explains how pages, Lists, libraries, metadata, and governance can preserve decision context.

How Pixeldust Handles Versions and Comments

During the Pixeldust implementation process, current sources, drafts, ownership, approval states, permissions, and historical records are separated before Maisy is treated as dependable.

The Practical Answer

Maisy should normally answer from the current approved document—not its previous versions or editing comments. Historical material belongs in controlled research and decision records.
