Can an Internal AI Assistant Calculate Policy Deadlines Correctly?

Yes, but important deadlines should be calculated through defined business rules—not left entirely to a language model. An internal AI assistant can collect the relevant date, identify the applicable policy and explain the result. Deterministic logic should perform calculations involving business days, holidays, time zones and exceptions.

Reading a Deadline Is Easier Than Calculating One

“Expense reports must be submitted within 30 calendar days” is easy to retrieve. “I made the purchase on July 18. When is it due?” requires interpretation and calculation.

The problem becomes harder with business days, following months, payroll cutoffs, holidays and leave exceptions.

Define Exactly When the Clock Starts

“Within ten days” is incomplete unless the trigger is defined: incident date, discovery date, submission, approval, notice, next business day or system timestamp.

An AI assistant should not select whichever date is easiest to find.

Calendar Days and Business Days Are Different

Business-day calculations require weekdays, company holidays, location calendars, partial days, weekend handling and emergency schedules.

A mathematically valid answer can still be operationally wrong if the wrong calendar is used.

Use Deterministic Logic for the Calculation

Microsoft Power Fx includes DateAdd and DateDiff. Microsoft’s Power Fx date-function reference documents their behavior.

Copilot Studio agent flows can follow deterministic paths where the same inputs produce the same outputs.

Your incident was recorded August 4. The policy allows five business days and excludes the August 10 company holiday. The calculated deadline is August 12.

The flow—not the language model’s intuition—should establish the date.

Ask for Missing Information Before Calculating

The assistant may need the request type, policy, official start date, location, approval status, exception and holiday calendar.

Is this deadline based on the incident date or the date your manager approved the report?

Explain the Rule Along With the Date

A useful answer includes the deadline, trigger, rule, calendar type, excluded holidays, source and correction path.

Do Not Calculate From Unverified Statements Alone

For consequential deadlines, retrieve the approval timestamp from the system of record when authorized. The business system should remain authoritative.

High-Risk Deadlines Need Human and System Controls

Legal notices, payroll, benefits, safety, taxes, contracts and regulatory filings should not depend solely on an AI answer.

The NIST AI Risk Management Framework recommends managing risk according to context, impact and human oversight.

Test the Awkward Dates

Test weekends, holidays, leap years, month-end, year-end, daylight-saving changes, time zones, missing dates, reopened requests, paused deadlines, extensions and conflicting policy language.

Where Maisy Fits

During the Pixeldust implementation process, Pixeldust identifies deadline rules, triggers, calendars, exceptions and authoritative systems.

The AskMaisy Microsoft 365 Knowledge Hub implementation guide explains how governed knowledge, permissions, Copilot Studio and deterministic workflows operate together.

Maisy can make the deadline understandable. The underlying workflow should make it correct.
