Can an Internal AI Assistant Read Scanned PDFs and Handwritten Documents?

An internal AI assistant can use scanned PDFs and some handwritten documents, but only after optical character recognition converts their images into searchable text. Results depend on scan quality, handwriting clarity, page layout and OCR configuration. A file being visible in SharePoint does not mean Copilot Studio can reliably interpret everything printed or written on its pages.
Why Scanned Documents Create Problems
A scanned PDF may contain only photographs of pages. A person can read the pages, but a retrieval system may only see images unless OCR has extracted the text.
What OCR Does
OCR attempts to identify letters, numbers, words and text blocks. Microsoft’s SharePoint OCR overview explains how printed and handwritten text can be extracted and indexed.
OCR may misread faded text, crooked scans, stamps, tables, marginal notes, checkboxes, technical symbols and low-resolution pages.
OCR Does Not Make a Document Authoritative
Questions remain about whether the procedure is current, whether handwritten amendments were approved, whether a newer version exists and who may access it. Microsoft’s SharePoint governance overview explains why readability does not replace ownership and lifecycle controls.
A Practical Preparation Process
Identify the business purpose, confirm source authority, improve scan quality, run OCR, review critical values, rewrite important procedures, assign ownership and permissions and test realistic questions.
Where Maisy Fits
The AskMaisy implementation guide describes a governed knowledge layer. The Pixeldust process includes inventory, cleanup, permission design and validation.
The Practical Answer
OCR allows the assistant to see the words. The organization must still decide whether those words should be trusted.
