Can an Internal AI Assistant Read Screenshots Embedded in Company Procedures?

Sometimes, but screenshots should not be treated as the only source of important instructions. An internal AI assistant may extract visible text from certain images or image-based PDFs, but it may miss arrows, highlights, screen states or meaning conveyed only by visual placement.
Why Companies Rely on Screenshots
Screenshots may show a highlighted menu, arrow to a button, red box around a required field, sample record, warning or numbered callouts. A human may understand the picture immediately. A retrieval system may recognize the words but miss the relationship between them.
File Format Changes What the AI Can Extract
Copilot Studio can use SharePoint sites and files as knowledge sources. Microsoft’s SharePoint knowledge-source guidance explains grounding, authentication and permissions.
A searchable PDF may be easier to use than a Word document whose critical instructions exist only inside screenshots.
Microsoft’s Document Intelligence layout documentation describes text and structure extraction and format-specific limitations.
OCR Reads Words, Not Necessarily Meaning
OCR may identify labels such as Submit, Customer Status and Approval Required. It may not preserve the relationship between a note, arrow and circled button.
Accuracy can also decline with small text, low resolution, dark interfaces, overlapping windows or compressed images.
Write the Procedure So It Works Without the Screenshot
Weak instruction: “Select the option shown below.”
Stronger instruction: “In the Customer Status field, select Approved for Billing only after the Finance Manager has approved the account. Do not select Active as a substitute.”
Each step should identify the system, exact field or button, required action, prerequisites, expected result, exceptions and escalation path.
Add Captions and Alternative Text Carefully
Figure 3: On the Vendor Review page, select Send to Finance after all required tax fields show Complete.
The complete operational instruction still belongs in the main text.
Remove Sensitive Information
Screenshots may expose customer names, employee records, account numbers, email addresses, financial values, browser tabs, notifications, internal URLs or credentials. Use sanitized test records and verify permissions.
Test Questions About the Visual Step
Ask which button to select, what status must appear first, which field is required, what a warning says and what to do when the screen looks different.
If the answer depends on an arrow, color, icon or position, convert that meaning into written knowledge before rollout.
Keep Screenshots Current
Software interfaces change frequently. Each screenshot-heavy procedure should have a content owner, system version, effective date and review date.
During the Pixeldust implementation process, Pixeldust identifies knowledge that exists only through screenshots, diagrams or verbal explanation.
