Can an Internal AI Assistant Reliably Answer Questions From Excel Spreadsheets?

An internal AI assistant can use information from Excel spreadsheets, but reliability depends heavily on how the workbook is structured, maintained and connected. Small reference tables may work adequately. Large operational workbooks, complex formulas and constantly changing records usually require a more controlled approach such as SharePoint Lists, Dataverse or a connection to the system that owns the data.
Why Businesses Want AI to Read Spreadsheets
Spreadsheets frequently become unofficial knowledge systems containing pricing rules, vendor contacts, training requirements, equipment inventories, approval limits, customer-service scripts and compliance schedules. Employees may ask which vendor services an asset, what training applies to a role or when a policy was reviewed.
The problem is not whether AI can technically retrieve text from a workbook. The problem is whether the workbook provides enough structure and authority for the answer to be trusted.
Excel Files Are Often Designed for People
A human may know that the yellow tab is current, an old price column should be ignored and a temporary worksheet has become the real operating source. An AI assistant does not automatically inherit that context. Common problems include several tables on one worksheet, merged cells, unexplained abbreviations, multiple versions of the same record, hidden sheets, old tabs and personal notes mixed with approved information.
File Retrieval Is Not Database Querying
A question such as “What does our vendor policy say?” may work well when the answer appears in clear text. A question such as “Which customers have contracts expiring within 45 days and unpaid balances above $5,000?” is a structured data query. It should normally be answered through a database, SharePoint List, Dataverse table, report or controlled workflow.
Microsoft explains how SharePoint content is used as a Copilot Studio knowledge source in its SharePoint knowledge-source documentation.
When Excel Can Work
Excel may be suitable when the workbook contains a small, clearly defined reference table with one recognizable table per worksheet, clear headings, consistent data types, one current record for each item, a named owner and a documented update process.
SharePoint Lists Are Often Better
Lists provide explicit columns, structured records, permissions, filtering and easier maintenance. Microsoft’s SharePoint List knowledge-source guidance describes the supported connection model.
Where Pixeldust and Maisy Fit
The Maisy Microsoft 365 implementation architecture distinguishes document knowledge from structured operational information. The SharePoint AI-readiness guide explains why authoritative sources, ownership and permissions must be addressed before employees depend on generated answers.
The Practical Answer
Use simple, governed workbooks for limited reference knowledge. Use SharePoint Lists or Dataverse for structured information that must remain current and searchable. Use business applications and controlled integrations for transactional records.
