Can an Internal AI Assistant Tell Managers Which Employees Completed Required Training?

An internal AI assistant can tell an authorized manager which employees completed required training, but only when it retrieves current completion records from a learning management system, Viva Learning or another approved system of record. A document-based knowledge assistant cannot reliably determine completion merely because training materials exist in SharePoint. Maisy can explain which training is required and, with a properly secured integration, retrieve the recorded status. The source system—not the chatbot—must remain authoritative.

Training Requirements and Training Records Are Different

SharePoint may contain the policy, course descriptions and role-based learning plans. A learning system may contain assignments, due dates, completion status, assessment results and certificates. The assistant cannot answer whether a specific employee completed training unless it can retrieve that employee’s current record.

SharePoint Access Does Not Prove Completion

Opening a training video does not prove that an employee watched it, understood it, passed an assessment or completed the formal requirement. Completion needs a defined business rule.

Viva Learning Can Report Completion Status

Microsoft Viva Learning allows organizations to recommend content and track reported completion status, subject to licensing and configuration. Microsoft’s Viva Learning overview describes these capabilities.

Administrators can export learner-completion records containing status, source, assignment type, due date and synchronization date. Microsoft’s learner-completion record documentation explains the fields.

The Answer Should Identify Source and Freshness

A useful response identifies the assigned population, recorded status, employees requiring attention and when the data was last synchronized. For compliance-sensitive questions, the assistant should link to the authoritative report rather than serve as the permanent audit record.

Permissions Must Limit Employee Training Data

A supervisor may need to see direct reports. HR or compliance may need broader access. An ordinary employee should usually see only their own assignments. The conversational interface should not become a shortcut around learning-platform permissions.

Synchronization Can Create Delays

An employee may finish a course before the connected system updates. The assistant should avoid claiming a status is real-time unless the integration supports real-time retrieval.

Use the Right System for Each Question

The knowledge hub should explain which training is required, who must complete it, when it is due and what qualifies as completion. The learning system should record who was assigned, who completed it and when certification expires.

Where Maisy Fits

During the Pixeldust knowledge-hub implementation process, sources can be identified, permissions reviewed and questions divided between governed knowledge and operational records.

The Microsoft 365 Knowledge Hub implementation architecture provides the broader model.

Maisy can explain the requirement and, where an appropriate integration exists, report current completion status. She should not become the learning management system or final audit record.
