How to Connect Copilot Studio to Approved SharePoint Knowledge Sources

A company builds a Copilot Studio agent and connects it to SharePoint.
The agent can now search hundreds of files, which sounds useful until it starts answering from draft procedures, outdated policies, duplicate documents and material that was never intended for broad employee use.
The technical connection worked. The source design failed.
Copilot Studio should not be connected to everything employees can technically access. It should retrieve from a controlled set of approved SharePoint sources with defined ownership, permissions and lifecycle rules.
Start with a Connected-Source Register
Before configuring the agent, list every SharePoint source being considered.
For each site, library or list, record the business purpose, knowledge owner, intended audience, sensitivity level, permission model, content status, review schedule and whether it is approved for AI retrieval.
This creates a connected-source register.
The secure Microsoft 365 knowledge-hub architecture explains why connected sources, permissions and ownership must be documented before launch.
Connect Narrow Libraries, Not Entire Sites
A SharePoint site often contains approved procedures, drafts, meeting notes, project files, archived documents, restricted material and informal references.
Connecting the entire site may expose all of it to retrieval.
A safer design creates a dedicated published-knowledge library or connects only the specific locations approved for the agent.
Narrow sources improve answer quality because fewer irrelevant and conflicting documents compete for retrieval.
Confirm Content Authority Before Connection
Every approved source should contain content employees are allowed to rely upon.
Each important document should have an accountable owner, published status, effective date, review date, intended audience, sensitivity classification and AI eligibility status.
Duplicate and superseded files should be removed from active retrieval.
The process for preparing organizational content for AI retrieval explains why source cleanup must happen before the Copilot Studio connection is treated as production-ready.
Configure Authentication and Permission-Aware Access
Copilot Studio should identify the employee asking the question.
Microsoft Entra ID and SharePoint permissions should determine which sources and documents that user may access.
The agent should not use a broadly privileged identity that can retrieve everything and then rely only on instructions to hide sensitive content.
Security must exist at the SharePoint source.
Define Grounding and Fallback Rules
The agent instructions should specify how it uses approved sources.
A practical configuration should require the agent to answer only from connected organizational knowledge, prefer published sources, cite or link to the source, state when information is unavailable, flag conflicts, refuse restricted requests and escalate questions requiring judgment.
A missing answer is safer than a fabricated answer presented with confidence.
Test Source Changes Before Production
Source testing should include more than normal questions.
Add a draft document and confirm it is excluded. Supersede a procedure and verify that the older version disappears. Remove a source and confirm the agent no longer cites it after the expected update cycle.
Also test conflicting documents, restricted questions, missing information, changed permissions, citations the employee cannot open and attempts to obtain another role’s answer.
Keep the Source List Governed
Maisy uses SharePoint, Copilot Studio, Teams and Microsoft 365 permissions to create a controlled retrieval environment.
The source list should be reviewed whenever content, permissions, departments or business processes change.
This helps the company retain institutional knowledge by making approved information available through a maintained system rather than scattered files.
It also helps retain institutional knowledge without allowing drafts, obsolete guidance or restricted material to enter employee answers.
Connecting Copilot Studio to SharePoint is easy. Deciding exactly what it should trust is the real implementation work.
