Can an Internal AI Assistant Answer Questions From Signed Contracts?

An internal AI assistant can answer questions from signed contracts stored in SharePoint, but it should retrieve the executed agreement—not an unsigned draft, redline, proposal or expired contract. The assistant can locate approved terms, dates, obligations and notice requirements for authorized employees. It should not provide legal conclusions, resolve ambiguous language or assume that a SharePoint field overrides the signed document. Reliable answers depend on controlled storage, contract metadata, permissions and human escalation.

Signed Agreements Are Different From Ordinary Documents

A contract library often contains an initial proposal, customer redline, legal review copy, signature-ready version, executed agreement, amendment, renewal and termination notice.

All may contain similar language. Only some represent binding commitments.

An assistant connected to the entire folder may retrieve a clause from a draft because its wording matches the question. The answer may sound precise while citing terms the parties never accepted.

The organization must identify which file is executed and whether later amendments changed it.

The Assistant Can Retrieve Contract Facts

An authorized employee may ask when an agreement renews, how much notice is required to cancel, whether weekend support is included, which services are covered, who signed it, whether automatic renewal applies or which location it covers.

These are retrieval questions. A configured assistant can locate the clause, summarize it and link to the signed source.

The answer should identify the customer, agreement, effective date, relevant clause and any amendment that affects the result.

Store Executed Agreements in a Controlled Location

Microsoft 365 eSignature saves the completed signed document back into the originating SharePoint folder after all required parties sign and maintains an audit trail. Microsoft’s SharePoint eSignature overview explains these capabilities.

Whether the organization uses Microsoft eSignature, Adobe Acrobat Sign, DocuSign or another provider, the completed copy should move into a designated executed-contract library. Unsigned working files should remain in a separate drafting area.

Use Metadata to Identify the Correct Agreement

The assistant should not determine status from filenames such as Contract Final, Contract Final Signed or Contract Final Signed New.

Useful metadata may include status, customer, agreement type, effective date, expiration date, renewal date, automatic-renewal status, notice period, business owner, legal owner, amendments, confidentiality and review date.

Example: A Customer Cancellation Question

Suppose an account manager asks whether a customer can cancel at the end of September.

The library contains the original three-year contract, an unsigned renewal proposal, a signed amendment and an email discussing possible cancellation terms.

The original agreement requires 90 days’ written notice. The amendment changes the renewal period but not the notice requirement.

A useful response identifies the recorded term-end date, notice clause and amendment. It should direct legal or the contract owner to confirm whether timely notice was received.

The assistant retrieves facts without giving the legal conclusion that the cancellation is valid.

Contract Summaries Are Helpful but Secondary

Organizations often create summary sheets containing key dates, pricing, service commitments, renewal terms and responsible employees.

These summaries must remain traceable to the signed agreement. If a summary says 30 days’ notice while the executed contract says 90, the assistant should not silently choose the easier answer.

The signed agreement remains authoritative unless an approved amendment supersedes it.

Permissions Must Match the Employee’s Role

Contracts may contain confidential pricing, customer information, employee data, intellectual-property terms, security requirements, settlement language and legal strategy.

The assistant should retrieve only information available through the employee’s authorized identity. Microsoft’s eSignature setup guidance describes related SharePoint, Entra and data-protection requirements.

The Assistant Should Not Practice Law

An assistant can locate language and explain ordinary operational meaning. It should escalate ambiguous clauses, conflicting agreements, potential breach, termination rights, indemnification, liability, regulatory obligations, disputed amendments, litigation or legal strategy.
