Maisy adds a governed AI knowledge layer on top of the documents employees already use in Microsoft 365.
The system does not replace SharePoint, Word, Excel, PDFs or OneDrive. Those files remain the living source of truth. Employees continue creating, editing and updating them as part of normal work.

Living Documents Stay in SharePoint
The organization’s working documents remain where employees already use them.
These may include:
- Word procedures
- Excel reference sheets
- PDF manuals
- Interview-based knowledge documents
- Policies
- Role guides
- FAQs
- Decision and exception guides
When one of these documents changes, the change remains part of the normal SharePoint workflow.
Maisy Connects and Organizes
Maisy connects to approved SharePoint libraries and keeps track of the documents selected for knowledge retrieval.
The system:
- Detects new or updated content
- Extracts text and metadata
- Builds a searchable index
- Organizes related information
- Tracks document status
- Maintains links to the original source
The document itself stays in SharePoint. Maisy stores the information needed to make that document easier to govern and retrieve.
Governance Lives on the Maisy Side
Maisy applies knowledge-management controls without changing how employees edit the original document.
These controls may include:
- Draft, review, approved and archived status
- Knowledge owner
- Department
- Priority
- Risk level
- Review date
- Intended audience
- Source link
This creates a clear separation between the living document and the AI knowledge layer.
Permissions Are Respected
Access remains controlled through Microsoft 365 and SharePoint permissions.
Employees only receive information from documents they are authorized to access. Roles and Microsoft groups determine which sources are available to each user.
Maisy does not create a shortcut around existing security controls.
Employees Ask Questions Normally
Employees can ask questions in plain language through the approved Maisy interface.
Maisy then:
- Interprets the question.
- Searches the approved indexed content.
- Applies the user’s permissions.
- Retrieves the most relevant source.
- Returns an answer with a link to the original document.
The answer is grounded in the organization’s own approved knowledge rather than unrestricted public information.
Updates Stay in Sync
When a SharePoint document changes, Maisy refreshes the indexed content.
The workflow is simple:
Document updated in SharePoint → Maisy detects the change → index is refreshed → future answers use the current source
This allows employees to keep maintaining documents in the normal way while the knowledge system stays current.
The Result
Maisy turns existing Microsoft 365 documents into a governed, searchable and permission-aware knowledge system.
Employees do not have to move files into a separate platform or learn a new documentation process. They continue using the tools they already know, while Maisy makes the information easier to find, safer to access and more useful across the organization.
