An internal AI assistant can answer questions based on training videos, but it usually needs an accurate transcript or an approved written companion document. Copilot Studio does not currently accept audio or video files as standard uploaded knowledge documents. A transcript can make spoken information searchable, but it still requires review because transcription errors, visual demonstrations and undocumented exceptions can change the meaning.
A Video Is Not Automatically Searchable Knowledge
Businesses often have useful information stored in equipment demonstrations, software walkthroughs, onboarding sessions and safety training. Employees may know the answer exists somewhere in a long recording but not where.
Microsoft’s Copilot Studio file-upload documentation states that audio and video files cannot be used as uploaded knowledge documents. The video’s usable knowledge therefore needs to be represented in text.
Microsoft Stream Can Generate and Search Transcripts
Videos stored in SharePoint or OneDrive can use the Microsoft Stream player. Stream supports transcripts and captions, including transcript search and movement to the corresponding point in the recording. Microsoft’s Stream service description lists these capabilities.
Transcription Errors Can Change the Answer
Speech recognition may struggle with industry terminology, product numbers, accents, background noise, overlapping speakers, numbers and measurements. A transcript that turns fifteen PSI into fifty PSI creates a serious problem.
Visual Demonstrations Need Written Explanation
A transcript may record “click here” without identifying the button, system version or expected result. The useful written version should identify the application, role, controls, sequence, warnings, exceptions and video timestamp.
Separate Demonstrations From Rules
Training videos often combine official procedures, personal recommendations, examples, temporary workarounds and informal commentary. A reviewer must distinguish what the instructor demonstrated from what the organization has authorized employees to do.
Videos Also Become Outdated
Software screens, approval limits, forms and responsibilities change. Each important video-derived asset should identify the owner, recording date, applicable version, audience, approval status and review date.
Permissions Still Apply
Recordings may contain confidential information or restricted screens. The transcript can reveal the same information more efficiently than the video, so access should be reviewed for both.
