How Maisy Uses Teams Feedback to Improve Weak or Incorrect AI Answers

A company launches Maisy inside Microsoft Teams.
Most employees receive useful answers. Then someone finds an outdated procedure. Another gets an incomplete response. A third sees the correct answer but cannot open the source. Someone else asks a question Maisy cannot answer at all.
Those failures should not disappear into chat history.
Maisy can use Teams feedback, SharePoint and Power Automate to turn weak answers into tracked correction tasks.
Why Simple Thumbs-Up Feedback Is Not Enough
A positive or negative rating shows whether the employee liked the response.
It does not explain whether the problem was missing knowledge, an outdated source, conflicting documents, incorrect permissions, a broken citation, poor document structure, incomplete instructions or a question outside the assistant’s scope.
These problems require different fixes.
Maisy Gives Employees Specific Feedback Options
Employees can report that the answer is correct, incomplete, outdated, conflicting, inaccessible, improperly restricted or still requires help.
The employee can also add a short explanation.
This reduces the effort required to report a problem while collecting useful diagnostic information.
Capture the Original Question and Response
When feedback is submitted, Maisy can capture the original question, response, cited sources, date, employee role, feedback category, comments, assistant used, conversation identifier and whether escalation was requested.
That record can be stored in a SharePoint List or another approved tracking system.
Power Automate Routes the Issue
Power Automate can assign feedback based on category and subject.
An inaccessible citation may go to the Microsoft 365 administrator. An outdated HR policy may go to the HR owner. A possible security exposure should receive immediate escalation.
The workflow can assign the issue owner, priority, due date, status, reviewer, retest owner and resolution notes.
Classify the Failure Before Changing Anything
A content failure requires creating or rewriting SharePoint content. A governance failure requires fixing ownership, lifecycle status or review controls. A permission failure belongs in SharePoint, Entra ID or connector security. A retrieval failure may require source or metadata changes. An instruction failure may require a Copilot Studio update.
The article on testing a Microsoft 365 AI knowledge hub explains why answer, source and permission failures must be evaluated separately.
Route Corrections Through Approval
Employee feedback should not immediately alter production knowledge.
A correction workflow may move through Submitted, Triaged, Assigned, Under Investigation, Draft Correction, Awaiting Approval, Ready for Retest and Resolved.
The knowledge owner determines the correct business answer. An approver validates the change.
Retest the Original Question
A correction is not complete when someone edits a document.
The original question must be asked again using the same employee role. The reviewer verifies the answer, citation, permissions, required conditions and escalation behavior.
Look for Patterns
Maisy feedback can be analyzed by department, assistant, topic, failure type, source, employee role, severity and resolution time.
The Practical Knowledge Governance Model explains how ownership and review responsibilities support continuous improvement.
Turn Weak Answers into Better Knowledge
Maisy uses Teams as the employee interface, SharePoint as the governed source and Power Automate as the correction workflow.
This helps businesses retain institutional knowledge by converting employee feedback into approved improvements.
It also helps retain institutional knowledge because errors, missing answers and outdated procedures become visible work instead of recurring private frustrations.
