What Happens to an Internal AI Assistant When Microsoft 365 or the Internet Goes Down?

An internal AI assistant that depends on SharePoint, Copilot Studio, Teams or Microsoft identity may become partly or completely unavailable during an internet or Microsoft 365 outage. It should never be the organization’s only access point for safety procedures, emergency contacts or other business-critical instructions.

An AI Knowledge Hub Is Still an Information System

A Microsoft-based assistant may rely on internet connectivity, Entra ID authentication, SharePoint, Copilot Studio, Teams, OneDrive synchronization and local devices. If one component is unavailable, the assistant may fail to load, reject authentication or lose access to connected sources.

Determine Which Knowledge Must Remain Available

Not every document needs an offline backup. A marketing style guide can wait. An emergency shutdown procedure may not.

Critical offline knowledge may include emergency contacts, safety procedures, facility shutdown instructions, incident reporting, continuity responsibilities, customer escalation contacts, critical equipment procedures and manual transaction processes.

NIST’s Contingency Planning Guide for Information Systems recommends identifying critical processes, recovery priorities and alternative operating methods before disruption.

Keep Controlled Offline Copies

Approved SharePoint documents can sometimes be synchronized through OneDrive and retained on designated devices. That does not mean every employee should download the entire Knowledge Hub.

Offline copies may become outdated, remain on lost devices, be edited locally or continue circulating after replacement. Use them only for defined continuity needs and assign an owner to confirm currency.

Create a Simple Outage Procedure

  1. Determine whether the problem affects one device, the local network or Microsoft 365.
  2. Use the approved offline location for critical procedures.
  3. Use the documented phone or contact method.
  4. Continue only work approved for manual operation.
  5. Stop transactions requiring unavailable controls.
  6. Record work completed during the outage.
  7. Wait for confirmation before resuming normal operations.

A property-management company may use an offline emergency-contact sheet and temporary incident log during a water leak. Routine vendor onboarding can wait. The leak cannot.

Do Not Use Public AI as the Backup

A public chatbot does not know the organization’s approved procedures, contracts, equipment or authority structure. Employees may also expose confidential information while describing the problem.

Plan for Partial Failure

Test no internet, SharePoint unavailable, Teams unavailable, authentication failure, one source unavailable, inaccessible citations, outdated offline copies and users without backup access.

The assistant should distinguish “no approved answer was found” from “the knowledge source is currently unavailable.”

Reconcile Work Completed During the Outage

Manual approvals, paper incident records and temporary spreadsheets must be reconciled after service returns. The outage procedure should identify who enters records, verifies approvals, prevents duplicates and disposes of temporary files.
